Accept previous meeting minutes as per attached:

Old business: outdoor court master plan, court cleaning equipment, net equipment:
Outdoor court master plan:
-City of Burnaby still a 2-3 year plan, so nothing can be done at the moment for outdoor court
master plan
Net equipment:
-City of Burnaby: nets, the City of Burnaby parks foreman will check all the nets instead of the court
liaisons checking the nets
Court cleaning equipment:
-Kelvin sent emails to City of Burnaby for shed, cleaning equipment etc. at some pickleball courts.
City of Burnaby was not receptive to this. Kelvin suggested an alternative and still waiting for a
reply. Kelvin suggests that we have money to buy equipment (squeegee) and put them on the
popular pickleball courts, Squint (2), Robert Burnaby (2), Burnaby Heights (1), Keswick (1), Bonsor (1), Lou Moro (1), Confederation Park (1), Edmonds (1). Kelvin to talk to City of Burnaby that we will hang the squeegee’s on a hook.
Suggestion that some of the BPA Board meet with Lucas & City of Burnaby to go over these issues.
Suggestion that we might want to attend the Burnaby Parks Board meetings to promote our needs for equipment, courts etc. Judy will find out when the next Burnaby Parks Board meeting will be so that some BPA people can attend.
A suggestion, for the next City of Burnaby election that some pickleball people try to be elected on
the Parks Board.
Question: Can we get City of Burnaby councillors, parks board members attend a National
Pickleball Day pickleball event at one of the Burnaby courts to show them the popularity of
pickleball.
Beginner friendly locations and sessions, ask COB and find volunteers:
-move these sessions around to different Burnaby pickleball courts for exposure
-Identify future hubs for these sessions/programs
-Kelvin to talk to City of Burnaby
-Sandra wants to promote ‘safety’, (head shots), eye wear protection. Recommended to put this
on the BPA website along with other etiquette.
-Ken Endo will volunteer for beginner friendly sessions. Greg has the BPA paddles that Ken can use for these sessions.
Ideas for future projects/spending:
-squeegees
- Put some of the BPA money in a high interest GIC(Evan to look into rates)
-Box rentals 25%, 2 terms which have been paid for
-BPA tournament
-Harry Jerome has 4 BPA nets, Sherman to talk to Glen to get the nets back for our use
-BPA logo, Evan knows someone that may be able to design some logos
Sponsorship procedures:
-IPOP: $100-$300
-GnG brands: provide a discount code, and provide a % back to BPA
-SportChek: discount on equipment, footwear
-Matthew MacGregor: wants to rent courts for a corporate event

2. SportChek - not determined yet, members can get 20-25% off products, no kickback to BPA.
Maybe ask for a 1-time email blast fee of $100?
3. For event sponsorship cost, is it ok to follow VPA's model and pricing structure?
I vote yes to 1 & 3. For #1, we can provide 12 month logo on website and email blast.
Some more feedback needed for #2 before we vote on it. I vote yes if they will pay fee.
-Suggestion that BPA can run Corporate events for a fee.
-VPA & Richmond Pickleball provided to BPA what they charge for sponsorship
-BPA in agreement that we charge for adding sponsorship to our website, Bronze sponsorship for
12 months, our discretion to renew.
- Sherman will take on Sponsorship related emails moving forward.
BPA tournament details:
-low key, low cost tournament, focus is the play
-40 teams per session (4 hours)
-$20 per person, guaranteed 5 games minimum
-2 sessions per day
-Men/Women on one day
-Mixed on the second day
-BPA members, Pickleball Canada members
- Tim MacVinnie suggests we have volunteer referees to be paid $5 a game. But for our first
tournament, we really don’t want to have referees.
-Greg, Tom, Ken Endo and others to meet SAP to decide the details
Box rental procedures:
-$5 per person per session for a BPA session
-BPA will rent for groups, adds 25% on top of the rental cost
-must be BPA members, Pickleball Canada members

Agenda will be going over the Nov 14 meeting with COB which has been copied below in quotation
marks. In addition we can discuss:
1. Sports Box Sessions -Kelvin had some applications from people (Carl) for the Sport Box Sessions
2. Sports Box Rental by BPA (do we charge a fee, sign up, beginner and advanced time slots...?)
-BPA to do the administration for booking the Sport Box Sessions, BPA will charge for doing the admin for these sessions, $4-$5 per person.
-Kelvin says the Winter sessions have already been booked out, he’s asking about the Spring sessions (Apr-Jun) or booking.
-will need to plan for Winter 2025 for BPA sessions to apply in the Summer 2025, 1 night a week for Sohen Gill & Jack Crosby (32 players per session).
-need to figure out what type of system of play for these sessions: level of play, ladder etc.
3. BPA membership fee: Should we start charging a fee.? If we do, we need to give value to the members like a free BPA tournament, maintaining equipment, lessons....
-we have money in the bank, we should be charging a BPA membership fee
Before BPA can start to charge membership fees
-BPA can only charge a membership fee once we have proven that BPA will provide services that our membership find valuable
-members will want to know what they will be getting for their membership fee, what will BPA deliver: tournaments, leagues, coaching, new players programs, equipment, etc.
-when will it be done
-what are the timelines needed to be successful
-what budget doe we need to deliver what we promise
-how would BPA collect the membership fees? Russ says our bank can collect e-transfers,
Credit cards (e commerce)
-will table the membership fee and what BPA can provide, re: equipment box, equipment (box, squeegee, mop, bucket, broom), Sherman Quon will look into this
-BPA minutes should be available to our membership on our BPA website
4. Signage for shared use at SG and JC ...Are we in agreement with Burnaby signage?
-Yes, we are in agreement
5. Sponsorship?
-examine each sponsorship proposal, issue by issue
6. Cleaning equipment for pickleball venues and providing storage boxes ...does BPA pay or shall we try to get COB to contribute
-see item #3
7. Upkeep of nets for 2025...COB only has so much in their budget and ideally would like us to administer. We can ask for them to give us x dollars and we can try to administer ourselves.
-Kelvin has given CoB info for buying individual nets and stanchions
-BPA liaison can manage this
8. Transition of tennis courts to dedicated pickleball courts
-talk to CoB about this
-bring up about the issue about the funding the City is receiving from development about allocating money to expand pickleball courts
9. Tom wants to discuss planning for a BPA in house Club Tournament. A schedule of services for Spring, Summer and Fall. Tim Tam will to help with organizing a tournament. Greg Lamb can also help and I have some equipment that BPA can use: Honda generators, PA system, tables, canopies, etc.
-talk to CoB to discuss this and get free court time in return
-Cob charges $7 and hour per tennis court (3 tennis courts at Robert Burnaby)

“Hi everyone, please see the below agenda for our discussion here at the Parks Administration office next Tuesday at 1:30pm. I’ve also attached the minutes from our last in person meeting on May
16th.

From the City of Burnaby, the attendees will be Travis Possey, David Rose, Brianna Oliver and myself.

Travis represents Parks Operations, David is our area manager (he’s taken over from Isabelle) and Brianna will be representing indoor courts. I included Tom and Sherman in this email as I am assuming you’ll be attending alongside Kelvin? If that isn’t the case, my apologies and please advise who will be attending from the BPA with you.
COB BPA Working Group Agenda – Nov 14, 2024

Outdoor Courts – process for potentially altering lining (eg. Pickleball or Tennis specific locations)
-Planning dept. froze all funding and is going to take a year to plan all sports in Burnaby. There will be no changes till probably at least 2026. We asked to make sure to consult us for any pickleball related items.
-Can we ask CoB to see if they can modify other court surfaces?
Outdoor Courts – net provision; replacement
-only enough funds to provide 1 net/crt around early Feb for all of 2025. We agreed that they can just replace the net portion to be able to provide more net replacements as frames usually last 2-3x longer but I know the middle support bar breaks more often. I told them I’ll tally up what’s needed from our liaisons and will report back. And I’ll send a net setup/takedown notice for COB to review and approve and maybe I can print them up and disperse to the liaisons to post in the net boxes.
At the meeting we discussed possibly giving us a budget therefore giving us the flexibility to buy other things if needed.
Outdoor Courts - strategies for recurring theme, draft pickleball queueing system signage review (see attached)
-I sent signage revisions to Lucas so these will be printed and posted at all the courts.
I remember in previous meetings we would have a signage for permanent courts and one for courts shared with tennis unless COB put it all on one sign
Indoor Courts – number of sessions per week
-Brianna will add few more indoor sessions at CSC.
As well as more times at Edmonds Community Center
Outdoor courts – beginner only times
-COB would like us to help ambassador a few beginner sessions to starts at the boxes and then maybe more areas/sessions for the Spring/Summer season. I said we’ll help with this. Just spoke to Kyle and will need decision asap so he has SG on Tues from 10-12p and JC on Sun at 10-12p.
Outdoor courts – sports boxes
Surface at Sohen Gill
-No funding for this right now but they are planning to repaint as all sports are complaining about this surface. I’ll ask Lucas to consult us beforehand to add 1 more court, use silica sand on the lines to prevent skipping, better position the courts so that when basketballers are playing, they don’t interfere as much with pballers.”
